What we collect
- Enquiries. When you use our contact form or party enquiry form: your name, email address, phone number (if you give it), the venue, date, group size, occasion and package you're interested in, and your message.
- Waitlists. When you join a venue's waitlist: your email address, your first name (if you give it) and which venue you're waiting for.
- Mailing list. If you tick the box to hear about offers and events: your name and email address.
- Emails. When you email us: your email address and whatever you include in your message.
- Website visits. Our hosting provider processes technical information such as your IP address, browser and the pages you request, so it can deliver the website and keep it secure. If you accept analytics cookies, Google Analytics also collects information about how you use the site (see Cookies below).
We don't take payments through this website.
How we use it, and why we're allowed to
- Replying to enquiries and arranging your visit. We do this because you asked us to, as a step towards a booking, and because we have a legitimate interest in answering questions about our venues.
- Telling you when a venue opens. If you join a waitlist, we'll email you about that venue's opening. We rely on your consent, which you give by signing up.
- Sending offers, news and events. Only if you tick the box to join our mailing list. We rely on your consent, and every email has a way to unsubscribe.
- Understanding how the website is used. Only if you accept analytics cookies. We rely on your consent.
- Running and protecting the website. We have a legitimate interest in keeping the site working and secure.
You can withdraw your consent at any time by emailing us or, for marketing emails, by unsubscribing. This doesn't affect anything we did before you withdrew it.
Who we share it with
We never sell your information. We use a small number of trusted providers who handle it for us, under contracts that require them to keep it secure and only use it on our instructions:
- Google (Google Workspace, including Gmail and Google Sheets) to receive enquiries, keep waitlist and mailing list sign-ups, and email you.
- Google Analytics, only if you accept analytics cookies.
- Bunny.net (BunnyWay d.o.o., Slovenia) to host and deliver the website.
- Our online booking provider, if you book online. It handles your booking under its own privacy policy.
We may also share information when the law requires us to.
Information sent outside the UK
Some of our providers, such as Google, may process information outside the UK. When they do, it is protected by UK adequacy regulations (for example the UK–US data bridge) or by contract terms approved for use in the UK.
How long we keep it
- Enquiries and emails: 3 months after we receive them. If an enquiry becomes a booking, we keep the details we need for the booking and our accounts for as long as the law requires.
- Waitlist sign-ups: until 3 months after the venue you signed up for opens.
- Mailing list: until you unsubscribe or ask us to remove you.
- Analytics: for the retention period set in our Google Analytics account, and no longer than 14 months.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that's wrong or incomplete
- ask us to delete your information
- ask us to limit how we use it, or object to us using it
- object to direct marketing at any time
- ask for your information in a format you can take elsewhere
- withdraw your consent at any time
To use any of these rights, email sing@karaokebyhwh.co.uk. We'll reply within one month, and there's normally no charge.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Cookies
Cookies are small files that websites store in your browser. We keep ours to a minimum.
Always on (essential):
- hwh-cookie-consent remembers whether you accepted or declined analytics cookies, so we don't ask on every page. It's stored in your browser for 12 months.
Only if you click "Sounds good" (analytics):
- _ga (Google Analytics, 2 years) tells visits from different people apart.
- ga followed by a code (Google Analytics, 2 years) keeps track of your current visit.
These help us see which pages are popular so we can improve the site. They don't tell us who you are.
Maps: our venue pages offer a Google map. It only loads if you click to show it, and Google may then set its own cookies.
Changing your mind: click Cookie settings at the bottom of any page. You can also block or delete cookies in your browser settings.
Changes to this policy
If we change how we use your information, we'll update this page and the date at the top.
